This Privacy Policy explains how we collect, use, store, and protect information when you use our services. SehaPilot is a software product only — it does not provide medical services, payment processing, or financial services. By using SehaPilot, you agree to the practices described in this policy.

We collect the following categories of information: (a) Account information: name, email address, phone number, and payment details provided during registration; (b) Clinic data: staff profiles, administrative records, scheduling data, billing records, and other operational content you add to the platform; (c) Usage data: log files, IP addresses, browser type, pages visited, and actions taken within the platform; (d) Device data: device identifiers, operating system, and connection information; (e) Communications: messages you send to our support team.

2. How We Use Your Information

Patient data entered into SehaPilot is controlled by your clinic. You, as the clinic operator, are the data controller for patient information. TopZone processes patient data only as a data processor, acting on your instructions to deliver the features you use. We do not access, share, or use patient data for any purpose other than operating the service on your behalf.

6. Third-Party Services

We engage trusted third-party providers to help operate SehaPilot, including cloud infrastructure, email delivery, and payment processing. These providers access only the data necessary to perform their function and are contractually bound to protect it. We do not sell your data to any third party.

7. Payment Processors

Subscription payments are processed by our payment partner(s). When you make a payment, your card details are transmitted directly to the payment processor and are not stored on our servers. 8. Data Retention

We retain your account data for as long as your subscription is active. If you cancel your account, we will retain your data for a reasonable period (typically 90 days) to allow data export and to meet legal obligations, after which it will be securely deleted.
